Store Setup & First Sale Guide ​

This step-by-step guide walks you through setting up your store in MEGSTAT POS, adding your products, configuring your staff accounts, and ringing up your very first customer sale!

Step 1: Log In to Your Store Account ​

Open your web browser (Google Chrome, Microsoft Edge, or Safari) on your computer or tablet and navigate to your store's MEGSTAT POS web address.

  1. Enter your Store Owner Email and Password.
  2. Click Sign In.
  3. You will land on the Store Dashboard, where you can see today's sales, active registers, and quick links.

Step 2: Configure Your Store Profile & GST Details ​

Before ringing up sales, enter your business details so they appear properly on your printed customer receipts and tax invoices.

  1. Click on Settings in the left navigation sidebar.
  2. Select Store Profile:
    • Business Legal Name: (e.g., Acme Retail Enterprises Pvt Ltd)
    • Store Trade Name: (e.g., Acme Supermarket)
    • GSTIN Number: Enter your 15-character Indian GST number (e.g., 27ABCDE1234F1Z5). The system automatically detects your state code.
    • Store Address & Contact: Enter your street address, city, state, pincode, and store phone number.
    • Receipt Header & Footer: Add a friendly message on printed receipts, such as:

      "Thank you for shopping with us! Please visit again."
      "Exchange valid within 7 days with original bill."

  3. Click Save Settings.

Step 3: Set Up Your Branches & Registers ​

If you have multiple checkout counters or more than one store branch, set them up under Settings → Branches & Registers:

  1. Main Branch: Name your primary store location (e.g., "Downtown Flagship Store").
  2. Registers (Counters):
    • Click Add Register.
    • Name each billing counter clearly (e.g., "Counter 1 - Express", "Counter 2 - Main").
    • Each register will track its own cash drawer balance, opening float, and daily Z-Report independently.

Step 4: Add Your Staff & Cashier PINs ​

Do not share your Store Owner password with counter staff. Instead, create individual accounts with simple 4-digit PINs for quick counter switching:

  1. Navigate to Settings → Staff & Users.
  2. Click Add New User:
    • Name: (e.g., Ramesh Kumar)
    • Role: Select Cashier or Store Manager.
    • Cashier PIN: Set a 4-digit PIN (e.g., 1234).
  3. Click Create User.

Now, during busy hours, cashiers can quickly clock into their billing screen simply by tapping their 4-digit PIN on the screen.


Step 5: Add Your Products to the Catalog ​

Add items one by one, or import your product list using an Excel/CSV spreadsheet:

  1. Click on Catalog → Products in the sidebar.
  2. Click Add Product and fill in the essential fields:
    • Product Name: (e.g., Tata Salt 1kg)
    • Category: Select or create a category (e.g., Groceries).
    • Barcode / SKU: Scan the product's barcode with your barcode scanner, or type a custom SKU code.
    • Selling Price / MRP: The price customer pays (e.g., ₹28.00).
    • Purchase Cost Price: What you paid the supplier (e.g., ₹22.50) — kept private from customers and cashiers.
    • GST Rate: Select the applicable tax rate (e.g., 0%, 5%, 12%, 18%, or 28%).
    • HSN Code: Enter the 4-8 digit tax classification code.
    • Track Inventory: Toggle ON and enter your current shelf quantity.
  3. Click Save Product.

Step 6: Walkthrough — Ringing Up Your First Sale! ​

Let's walk through an entire billing cycle from morning opening to customer receipt:

1. Open the Cash Drawer (Morning Shift) ​

  1. Go to Point of Sale (Billing).
  2. The screen will prompt you to Open Shift.
  3. Count the starting change in your cash drawer (for example, ₹2,000 in ₹10, ₹20, and ₹100 notes).
  4. Enter ₹2,000 as your Opening Float and click Open Shift. Your counter is now active and ready!

2. Add Items to the Cart ​

  1. Pick up an item and scan its barcode with your handheld scanner. The item instantly pops into the cart.
  2. Need to change quantity? Click on the quantity box or press + on your keyboard.
  3. Item doesn't have a barcode? Start typing the item name or category in the search box to select it.

3. Apply a Discount (Optional) ​

  • To give a discount on an individual item, click the discount icon next to that item.
  • To give a special discount on the total bill, click Add Bill Discount at the bottom of the cart.

4. Collect Payment & Checkout ​

  1. Click the large green Pay / Checkout button.
  2. Select how the customer wants to pay:
    • Cash: Enter the cash amount the customer handed you (e.g., customer gives ₹500 for a ₹340 bill). The screen clearly displays the exact change to return (₹160.00).
    • UPI / QR Code: A dynamic QR code appears on the screen. The customer scans it with PhonePe, Google Pay, or Paytm.
    • Card: Enter the card transaction reference number.
    • Split Tender: If the customer wants to pay ₹200 in cash and the remaining on UPI, simply split the amounts!
  3. Click Complete Sale.

5. Print Receipt & Pop Cash Drawer ​

  • Your receipt printer instantly prints the neat customer bill.
  • The cash drawer opens automatically so you can place the cash inside and hand back any change.

Congratulations! You have completed your first transaction in MEGSTAT POS.
