The 4 Stages of a Daily Cash Shift
Every cashier shift follows a simple, foolproof 4-step routine:

At the start of the morning, the register drawer contains a small amount of cash used for handing out change to early customers (called the Opening Float).
- The cashier logs in and clicks Open Shift.
- Count the cash physically present in the drawer (e.g., ₹2,000 made up of ₹10, ₹20, and ₹50 notes).
- Type the amount and click Confirm Opening Float.
- The register is now active and tracks every rupee that comes in or goes out.
2. Managing Cash During the Day
Never let money leave or enter the cash drawer without a record! MEGSTAT POS gives you three simple buttons on the billing screen:
Pay-In (Adding Extra Change)
If your cashier runs out of ₹10 or ₹20 notes in the middle of a rush:
- The manager brings ₹1,000 in small change from the main safe.
- Cashier clicks Pay-In, enters
₹1,000, types the reason ("Extra ₹10/₹20 notes from manager safe"), and saves. - The drawer balance updates accurately.
Pay-Out (Small Daily Store Expenses)
Shops constantly pay small daily expenses out of the counter drawer:
- Buying tea/snacks for staff or customers (
₹60). - Paying the courier delivery person (
₹150). - Buying mop and cleaning supplies (
₹120). - Instead of keeping paper chits that get lost, the cashier clicks Pay-Out, enters the amount, selects the category or enters a note, and saves.
Safe Drop (Evacuating Excess Cash for Security)
Leaving ₹50,000 or ₹1,00,000 in cash sitting at an open checkout counter is dangerous:
- When drawer cash builds up during a busy afternoon, the cashier bundles up excess high-value notes (e.g., 40 notes of ₹500 =
₹20,000). - The cashier clicks Safe Drop, enters
₹20,000, and transfers the bundle directly into the locked store safe. - This protects your store from theft while keeping the drawer balance 100% accurate.
3. X-Report vs. Z-Report: What is the Difference?
Many store owners get confused between an X-Report and a Z-Report. Here is the simple distinction:

4. Closing the Shift: The Blind Cash Handover
The secret to stopping cash leakage is the Blind Handover:

Old Way (Vulnerable to Theft):
The screen shows "Expected Cash: ₹14,500". A dishonest staff member sees this,
pockets ₹500, counts ₹14,000, and claims a customer walked away without paying.
The MEGSTAT POS Way (Blind Handover):
The cashier DOES NOT see what the computer expects!
The screen simply asks:
"How many ₹500 notes? How many ₹200 notes? How many ₹100 notes? How many coins?"How Shift Closing Works:
- At the end of the shift, the cashier clicks Close Shift.
- A denomination counting screen appears.
- The cashier counts the physical cash in the drawer and enters the counts:
- ₹500 × 20
- ₹200 × 15
- ₹100 × 25
- Coins × 120
- Click Submit Closing Count.
- The system instantly calculates the exact formula: $$\text{Difference} = \text{Counted Cash} - (\text{Opening Float} + \text{Cash Sales} + \text{Pay-In} - \text{Pay-Out} - \text{Safe Drops})$$
- If the drawer is short by even ₹50, it is highlighted in red as a Shortage. If there is extra money, it is highlighted as an Overage.
Automatic Daily Summary Emailed to the Store Owner
Even if you are away traveling or at home, you will always know how your store performed today!
As soon as a register generates a Z-Report, MEGSTAT POS compiles an executive summary and emails it to the store owner:
- Total Sales: Gross sales, net sales, and total customer count.
- Payment Breakdown: How much was collected in Cash, UPI (PhonePe/GPay), Cards, and Customer Udhar.
- Taxes Collected: CGST, SGST, and IGST totals for the day.
- Cash Reconciliation: Opening float, total cash sales, pay-outs, safe drops, expected drawer cash, counted cash, and any shortage/overage.
This ensures you have complete control over your cash without having to spend your evenings manually counting notes.
