Store Data & Multi-Branch Management
Running a modern retail business often involves more than a single cash register. You may operate multiple checkout counters, manage a back-office warehouse, or run several store locations across your city.
This guide explains how MEGSTAT POS organizes your store data, keeps your financial records safe in the cloud, and allows you to manage multiple branches effortlessly.
For Developers and Database Administrators
If you are looking for database connection strings, Prisma migrations, Neon serverless driver setup, or SQL schemas, please see the Concurrency & Database Architecture and Multi-Tenancy Guide.
How Your Store Data is Organized
In MEGSTAT POS, your business data is structured into a simple, logical hierarchy:
text
Your Business Account (e.g., Acme Retail Enterprises)
├── Settings & Tax Profile (GSTIN, State Code, Legal Name)
├── Master Product Catalog (All products, barcodes, HSN codes, and base prices)
└── Outlets & Branches:
├── Branch 1: Main City Center Store
│ ├── Counter 1 (Express Register)
│ ├── Counter 2 (Supermarket Register)
│ └── On-Hand Inventory (Current stock at Branch 1)
├── Branch 2: Suburban Outlet
│ ├── Counter 1 (Boutique Register)
│ └── On-Hand Inventory (Current stock at Branch 2)
└── Central Storage / Warehouse
└── Bulk Stock Reserves (Transfers goods out to branches)Key Advantages of This Structure:
- Shared Master Catalog: You create a product once (e.g., Basmati Rice 5kg). It is instantly available across all your store locations—no need to re-enter product details at each shop!
- Branch-Specific Stock: Each branch tracks its own actual stock on its shelves. Branch 1 can have 50 bags while Branch 2 has 12 bags.
- Unified Owner Dashboard: As the owner, you can view the combined sales of all your shops on your phone or filter by an individual store counter.
Setting Up Multiple Branches
If you expand to a second store or separate your main warehouse from your retail floor:
- Go to Settings → Branches.
- Click Create New Branch.
- Enter the branch details:
- Branch Name: (e.g., Westside Mall Outlet)
- Branch Code: Short identifier (e.g., BR-02)
- Address, City & Pincode: Used on customer delivery slips and local invoices.
- Phone & Manager Name: Contact details for the branch supervisor.
- Save the branch.
- Create at least one register (billing counter) for that branch under Registers.
Staff members assigned to that branch will only see and bill the stock available at that specific location.
Safe Cloud Data: Never Lose a Bill
One of the biggest risks with old-fashioned desktop billing software is computer failure:
- Hard drives crash.
- Windows updates restart the billing PC during a rush.
- Power cuts corrupt the local database file.
- Lost sales records mean unpaid customer credit (khata) is gone forever.
With MEGSTAT POS, your store data lives securely in high-availability cloud servers:
- Every bill you save, every rupee entered into the cash drawer, and every stock adjustment is backed up in real time.
- If a cashier's computer or tablet runs out of battery, simply turn on another tablet, laptop, or phone, log in, and continue billing right where you left off.
- All customer credit accounts (udhar), supplier bills, and historical GST records are permanently preserved and tamper-proof.
Importing & Exporting Store Data
You don't need to type in thousands of products by hand when setting up your store.
Importing Products via Excel / CSV:
- Go to Catalog → Products.
- Click Import Products at the top right.
- Download the simple Sample CSV Template.
- Paste your product details: Name, Barcode, Selling Price, Cost Price, GST Rate, and Opening Quantity.
- Upload the file. The system checks for errors, previews the items, and imports them in seconds!
Exporting Reports for Your Accountant:
At the end of every month, your CA or tax consultant will need your sales, purchases, and GST reports:
- Go to Reports → Tax & GST Reports.
- Select the month or financial quarter.
- Click Export Excel / CSV or Export PDF.
- The downloaded file contains complete GSTR-1 and GSTR-3B summaries ready for filing.
